Start with costs that already exist on paper

Enter amounts from written estimates, reservations, leases, utility notices, travel bookings, and other records you can identify. Put the full expected cost in the Expected column and only money already paid in the Paid column. The planner then shows the difference without guessing what the service should cost.

If a mover's transportation charge already includes packing, enter that amount once. Do not add the included packing again in another category. Keep an unresolved cost blank until you have a usable figure; entering zero should mean you have confirmed that no charge applies.

Separate the move, the transition, and the first week

A moving-company quote is only one part of household cash flow. The moving stage can include transportation, packing, supplies, storage, and special access. The transition can include fuel or fares, lodging, meals in transit, overlapping housing, cleaning, repairs, equipment returns, and utility setup. The first week can require groceries, basic household supplies, pet or child needs, and replacement items that cannot wait.

These groups are an organizing method, not a claim that every household will have every expense. Use the categories that match your circumstances. If a cost belongs to two categories, choose one and note the source in your private records rather than counting it twice.

Worked example: make the arithmetic visible

Illustrative figures, not market prices: a household enters $2,850 for mover charges, $260 for packing supplies, $450 for travel, and $600 for housing overlap and setup. Entered expected costs total $4,160. If the household chooses to set aside $200 for contingency, the working budget is $4,360 ($4,160 + $200).

If $900 has already been paid across those categories, $3,460 remains in that working budget. That number is not a promise of the final cost. Blank categories, changed services, refunds, and unconfirmed charges can still change the plan.

Treat deposits and refunds as cash-flow questions

A deposit may be money you need before moving day even when it is credited toward a later bill. When that is confirmed in writing, include the full expected service cost once and record the deposit in Paid so far. Adding the deposit again as a separate expense would overstate the working budget.

Utility, building, rental, or storage deposits can also require cash now, even if they may later be returned. Record what you need for the move, then keep refund conditions and expected return dates in your own records. Do not reduce the budget based on an expected refund until you decide that assumption is appropriate for your cash-flow plan.

Use contingency deliberately, then replace it with facts

There is no universal contingency amount that MoveDayMap can confirm for every household. Choose a reserve based on your own uncertainty and available funds. A specific unpriced service, an uncertain travel plan, or a possible housing gap should still remain visible in the relevant category rather than disappearing into one generic cushion.

Update the worksheet when a written amount changes or a payment clears. Compare the result with your available funds before making a commitment.
