Start with the load, not the transport label
Link to this sectionList what actually needs to travel: boxes, furniture, fragile items and things you will carry yourself. Note the largest items and the pickup and destination access. A room count does not tell a provider whether an awkward sofa must pass through stairs or how many boxes you have.
Divide the inventory into the shipment, carry-with-you essentials and items you will not move. Confirm donation, sale or disposal arrangements instead of assuming everything unwanted will disappear before collection. Ask each transport candidate to price the same inventory and access details.
Compare transport and personal travel separately
Link to this sectionWrite down who moves the belongings and how you get to the destination. Those can be different arrangements. Ask a provider whether loading, unloading, packing, storage and timing are included. If considering a rental vehicle, verify driver eligibility and every relevant provider requirement before making it your only plan.
Treat parcel shipping, hired transport and help from someone you know as options to investigate, not interchangeable services. Check size, weight, prohibited-item, packaging and protection requirements directly with the actual carrier. Do not assume a passenger ride can carry your full household.
| Handoff | Question | Evidence to keep |
|---|---|---|
| Pickup | Who loads, from which room and when? | Written scope |
| Shipment | Which items are accepted and protected? | Provider terms |
| Arrival | Who receives and unloads? | Confirmed contact and window |
| Personal travel | How will you and essential bags arrive? | Separate travel plan |
Make the pickup and delivery handoffs specific
Link to this sectionConfirm where the vehicle can stop, who can open the building, who will be present and how the provider will reach them. Ask how the pickup or delivery window is communicated and what happens if you cannot attend. Record the answer in writing along with any changed charges.
If a trusted person receives belongings, agree on the task beforehand and check what the provider permits. Give them the relevant inventory and contact details through your own secure channel. Do not put identification numbers, passwords or financial details in public box labels.
Keep essential belongings with you
Link to this sectionPrepare a bag for the period when your shipment is unavailable. Choose documents, chargers, basic clothing, toiletries and personal essentials according to your household. Confirm luggage limits for your personal travel before packing the bag. Keep a small arrival list so you do not need to open every box immediately.
If pickup and delivery occur on different days, list the temporary sleeping, food and travel arrangements separately. Do not infer a guaranteed arrival day from a general estimate. Ask how timing is confirmed and keep the provider’s written updates.
Build the budget and a fallback plan
Link to this sectionAdd shipment costs, personal travel, loading help and temporary arrangements once each. Record a deposit as paid toward a total only when the paperwork says that is how it works. Leave unconfirmed fees unresolved. A cheap headline price is not a complete comparison if the handoffs and services differ.
For example, if the shipment is booked but the building elevator is not, your next task is to resolve access with the property and provider. The fallback might change timing or labor costs; request a written revision rather than guessing the price. Use the FTC guide when checking hired moving companies.
